Knowledge base 205: Email Notifications - Door Alarms


This bulletin explains how to configure Identity Access (IA) to automatically Email selectable door alarms, informing customers of issues on site. The following door alarms can be set up, with examples of their usage listed below:

1.    Door Locked – Used in conjunction with Times Zones to tell users that their premises have successfully been locked on time.

2.    Door Unlocked – As above but in reverse.

3.    Door Opened (Door must have a Door Contact fitted) – Can be used for secure areas such as comms rooms where people may want notification that someone has physically opened the door.

4.    Door Closed (Door must have a Contact fitted) – Can be used on automatic doors that are open throughout the day to notify users that the door has been successfully closed on time.

5.    Forced Open (Door must have a Contact fitted) – to acknowledge that a door has been opened without a valid swipe or push-button activation. Cannot be used on doors with just a handle to exit.

6.    Door did not open (Door must have a Contact fitted) – to acknowledge that a door has not been opened after a valid swipe or push-button activation. Cannot be used on doors with just a handle to exit.

7.    Door did not close (Door must have a Contact fitted) – to acknowledge that a door has not been closed after a valid swipe or push-button activation. Cannot be used on doors with just a handle to exit.


Requirements 

Door contacts for events as outlined above
      IA Server V9.72 live 24/7 to facilitate Email requirements. 
      N.B. If the Server is unavailable, or the Identity Access application is not running, then Emails will not be sent at the time of the event
      IA-PRO or IA-ENT Licence
All testing and configurations were carried out on:
      IA Server V9.72
      iNet Firmware V9.36

Checking for Door Contacts

Certain Door alarm events (Listed above) require Door Contacts to be fitted and configured. Without these contacts events cannot be generated and the Email function will fail. Should no contacts be fitted, then please contact your Installer. 

Below are the steps to establish if the selected door has contacts fitted, configured and enabled. 


1.    From IA User Interface (UI), Click ‘Setup’ Tab and select ‘Doors’

2.    Double click the required Door to bring up the Door Settings



3.    Click on the I/O Settings Tab – ‘Door Contact’ checked indicates a Door Contact is configured


4.    Click on         Icon – This will display which ‘Input’ has been assigned

N.B. Timeout indicates how long it takes until the system goes into a Door Left Open or Door Did Not Open alarm state


Email Configuration

The following steps outline the process required to achieve Email generation from the system associated with a defined event:

1.    From Identity Access (IA) User Interface (UI), Click ‘Setup’ tab and select ‘Configuration



2.    Log in as an Administrator


3.    Select ‘Email’ from the left-hand column and click the [ADD] button


4.     Complete the following Fields:

Description = A meaningful name for the template

SMTP Server Settings =These settings are supplied by your Company IT or ISP and include:

SMTP Server Name

Port Number 

Encryption Method, if applicable

Username and Password of your Email Account


N.B. All entries below are for illustration only

5.     Click on the [Email] tab


6.     Complete the following fields:

From: The Email Address of the Sender

To: The Email Address of the recipient

CC: The Email Address of anyone else to be copied into the Email

Note: It is possible to add multiple Email addresses in the ‘To’ & CC fields. Separate each entry with a comma

Subject: A meaningful subject so the Email can be recognized as important by the recipient/s

Body: The main body of the Email

NOTE: The ‘Subject & Body’ can be edited when creating the email action to ensure relevance to the detected event.


N.B. All entries below are for illustration only



7.     To test the Email, click the [Test] tab


8.     Click the [Test] Button to send a test email. The display will indicate whether the test was successful 


Create a required Action and Associated Email

9.    From the IA User Interface go to the ‘Advanced’ Tab



10.     Select the ‘Events’ option

11.     From the ‘Events’ Window select the       Icon to add a new event. This will open the ‘Action Wizard’ – Click ‘Next’



12.     Select Door – Click ‘Next’



13.     Select the ‘Door’ to associate the ‘Action’ – Click ‘Next’


14.     Select the required event for the chosen door, this example is ‘Forced Open’ – Click ‘Next’

NOTE: The selection below is an example only – The process remains the same for all displayed options



15.     Select the ‘Object Type’ as ‘Email’ – Click next


16.    Select the appropriate Email template created earlier from the dropdown list

N.B. The example below is for a Forced Door



17.     If a report is required - Check the ‘Attach Report’ option and select ‘Fire Roll-call Report’

N.B. This option will attach a report to the Email listing all users on site at time of activation



18.     Click the ‘Finish’ Button

19.     The new action will now be displayed in the main Action Wizard Screen 



20.     Click the ‘Accept’ Button to apply 

21.     The event will now be displayed in the ‘Events’ Main Window



22.     When the conditions are met the system will auto generate an email and send to the configured recipients. If the ‘Report’ section was selected, the chosen report will be attached to the Email for all recipients.
