Knowledge base 223: Email Notifications - Fire Roll Call


This bulletin explains how to configure Identity Access to automatically email a fire roll call report.


Requirements
  1. Identity Access Server V9.72 or higher, live 24/7. NOTE: If the Server is unavailable, then Emails will not be sent at the time of the event.
  2. Identity Access Professional Features License (IA-PRO / IA-ENT / SUB-PRO / SUB-ENT)
  3. Readers IN and OUT from all entry and exit points to the building.
  4. A fire alarm input connected to an iNet Door Controllers
  5. SMTP Server settings and recipient email addresses.
All testing and configurations were carried out on:
  1. Identity Access V9.1.88
  2. iNet Firmware V9.0.54

Check Readers for Locations

1.    Login to Identity Access as an Administrator / System Integrator account. Click "System" Tab and select "Card Readers"

    

2.    Double-click on the entry IN Reader, and check that the Location shows "Reader leads to the inside". Press "Accept".



3.    Double-click the entry OUT Reader, and check that the Location shows "Reader leads to the outside". Press Accept.


4.    Repeat Steps 2 and 3 for any other Entry / Exit points for your building. 

Email Templates Configuration

1.    Login to Identity Access as an Administrator / System Integrator, click "System" tab and select "Configuration"



2.    Select "Email" from the left-hand column and click the [ADD] button


3.     Complete the following Fields:

Description = A meaningful name for the template

SMTP Server Settings =These settings are supplied by your Company IT or ISP and include:

SMTP Server Name

Port Number 

Encryption Method, if applicable

Username and Password of your Email Account


NOTE: All entries below are for illustration only



4.     Click on the [Email] tab and complete the following fields:

From: The Email Address of the Sender

To: The Email Address of the recipient

CC: The Email Address of anyone else to be copied into the Email

Note: It is possible to add multiple Email addresses in the ‘To’ & CC fields. Separate each entry with a comma

Subject: A meaningful subject so the Email can be recognized as important by the recipient/s

Body: The main body of the Email

NOTE: The ‘Subject & Body’ can be edited when creating the email action to ensure relevance to the detected event.

5.     Click the [Test] Button to send a test email. The display will indicate whether the test was successful 


6.     Click "Accept" to save the changes. Click Accept in the Identity Access Configuration to save the changes.

Creating the Fire Alarm Action

1.    Login to Identity Access as an Administrator or System Integrator. Click on "System" and select "Controllers".



2.    Double-click on the Controller with the Fire Alarm input connected. Go to "Settings" and select "Fire Sensor". Check that the Fire Sensor is Active, the correct Input is selected and the "Input State" is correct.


3.     Select the "Events" tab, click on "Fire sensor on" and click [ADD]


4.     Click the [Add] button.



5.     Select "Email" and click [Next]


6.     On the dropdown select your newly created template. You can also edit the Subject and Body of the email. Tick "Attach Report" and ensure "Fire Roll-call Report" is selected. Click [Finish] to save the action.


7.    Click [Accept]


9.    Click [Accept]

10.    Set off the Fire Alarm and test that the email is received.
