Knowledge base 233: Email Notifications - Access Log Report

This Knowledge Base explains how to configure Identity Access to automatically email Access Log, System Log, T/A Log reports. The example below uses Access Logs to demonstrate the process.

Requirements
  1. Identity Access Server V9.72 or higher, live 24/7. NOTE: If the Server is unavailable, then Emails will not be sent at the time of the event.
  2. Identity Access Professional Features License (IA-PRO / IA-ENT / SUB-PRO / SUB-ENT


Step 1 - Configure Time Zone

An event must be configured to cause the action to be performed. In this example, we will create a Time zone that will trigger the system to run a report and email it to a recipient. 

1. Select User Admin > Timezone > Add New Timezone

2. Give the report a Name. Select a Day and Time for the Report to be Generated. The example shows Monday 08:55 - 09:00. Then click Accept.


Step 2 - Access Report Configuration

We will then create the report that will be automatically emailed according to the Time Zone. In this example we will create an Access Log Report.

1.  Select Reporting > Access Log > Add New Access Log


2. Select Display All > Logs From - Start of Last Week > Now > Save


3. Name the Report Query > Click Accept


Step 3 - Email Configuration

The following steps outline the process required to achieve Email generation from the system associated with a defined event:

1.    From Identity Access (IA) User Interface (UI), Click ‘Setup’ tab and select ‘Configuration



2.    Log in as an Administrator


3.    Select ‘Email’ from the left-hand column and click the [ADD] button


4.     Complete the following Fields:

Description = A meaningful name for the template

SMTP Server Settings =These settings are supplied by your Company IT or ISP and include:

SMTP Server Name

Port Number 

Encryption Method, if applicable

Username and Password of your Email Account


N.B. All entries below are for illustration only

5.     Click on the [Email] tab


6.     Complete the following fields:

From: The Email Address of the Sender

To: The Email Address of the recipient

CC: The Email Address of anyone else to be copied into the Email

Note: It is possible to add multiple Email addresses in the ‘To’ & CC fields. Separate each entry with a comma

Subject: A meaningful subject so the Email can be recognized as important by the recipient/s

Body: The main body of the Email

NOTE: The ‘Subject & Body’ can be edited when creating the email action to ensure relevance to the detected event.


N.B. All entries below are for illustration only



7.     To test the Email, click the [Test] tab


8.     Click the [Test] Button to send a test email. The display will indicate whether the test was successful 

Step 4 - Setup Actions and Events

The final step is to configure the system to generate and send the reports automatically according to the Time Zone created in step 1.


1.  Select Advanced > Events > Add New Event


2. Select Next


3. Select Time Zone > Next


4. Select Time Zone > Next

5. Select Active > Next


6. Select Email > Next


7. Fill out the Fields shown in the Red Boxes Below > Click Finish


8.  Click Accept
